Event Services System

ESS (Event Services System) is an entirely Web-based, multi-tier application built for the management of event participants and centered on a powerful accreditation and volunteer-management engine. ESS is a flexible and intuitive system, with low-cost implementation and a short learning curve for the organizers. It is suitable for one-day conferences, large multi-sport events and championships alike.

The accreditation engine offers a multi-badging capability, simple graphical interface for managing individuals' photos, flexible design and previews of passes, a privileges matrix to assign access rights and priviliedges according to individuals profiles and a batch production for badges. This product can manage multiple events, allowing users to assign individuals to simultaneously occurring events, such as ceremonies, training sessions, cocktails, finals, etc. ESS also enables the preparation of specific badges with different layouts for these sub-events. The Accreditation solution encompasses the combined functionality of participant registration and accreditation, as well as basic transportation, agenda and accommodation management. Moreover, it can register the sports disciplines in which athletes are competing.

 

EST (Event STaffing system) the integrated staffing solution allows the registration of volunteers and staff for a particular event, together with their relevant skills, experience, abilities and qualifications. It facilitates the full cycle of candidate application, evaluation, selection interview and assignment to tasks. Furthermore it has a tracking mechanism to follow all communications with the candidates. Once selected, the details of the staff are transfered into ESS for accreditation.

 

Moreover, ESS has an integrated report engine called RGM (Report Generator Module) allowing users to dynamically analyze participants’ data by generating reports to be printed or viewed on-screen. Participants data can also be exported to other applications (such as MS Office tools) to manage specific tasks like Sport Entries or Accommodation.

 

In order to handle online registration of volunteers, sports entries and participants, a versatile module called IRM (Internet Registration Module) can be added to ESS. This module enables the organizers to offer a web registration channel and to reduce the amount of administration in managing inscriptions.

 

ESS is in many ways a 'scaled-down', all-in-one application for event management.

ESS is based entirely on a Microsoft platform (Windows2000). The centralized architecture allows organizing committees to deploy it very quickly on their event network. Intranet clients only need a browser (Internet Explorer 5.5 or higher) and access to the network on which the application is running. Access to the system is secured using login and password.

 

ESS was or is being used by the following organizing committees : 2005 University Games, 2003 All Africa Games, 2003 European Youth Olympic Festival, 2003 Swimming World Championships and 2001 Skate America.
